Terms of Service

By creating a Roman Copilot account or using the service you agree to these terms. If you are accepting on behalf of a clinic, you represent that you have authority to bind that clinic.

Roman Copilot is an operations platform that ingests data from your connected EMR and surfaces analytics, tasks, and AI-generated recommendations. Recommendations are decision support — not medical, legal, or financial advice — and you remain solely responsible for clinical and business decisions.

You're responsible for maintaining the confidentiality of your credentials and for activity under your account. Clinic owners are responsible for the managers they invite. Notify us immediately of any unauthorized access.

By connecting your EMR you authorize Roman to read the data necessary to operate the service. You may disconnect at any time from Settings; on disconnection we stop syncing new data and your stored EMR credentials are deleted.

Roman is currently in private beta and offered without charge to participating clinics. We may introduce pricing in the future with at least 30 days' notice; you may cancel before any paid term begins.

The service is provided "as is" without warranties of any kind. We do not guarantee uninterrupted availability or that AI outputs are accurate or fit for any particular purpose.

To the maximum extent permitted by law, Roman's aggregate liability for any claim arising out of the service is limited to the greater of (a) the amount you paid us in the 12 months before the claim, or (b) US $100.

You may stop using the service at any time. We may suspend or terminate accounts that violate these terms. On termination we will, on request, delete clinic data within 30 days.

We may update these terms; continued use after an update means you accept the new version. Material changes will be announced by email or in-app.
